Honestly: on any single application, the category leader usually has the edge. Salesforce CRM has deeper enterprise configurability than Zoho CRM. HubSpot's marketing UI is more polished. Zendesk has a larger app marketplace than Zoho Desk.
That is the wrong comparison. You are not choosing between Zoho CRM and Salesforce — you are choosing between forty-five applications that share one customer record and a stack of best-in-class tools that don't. For the overwhelming majority of businesses under a few thousand employees, the second-best app that knows everything beats the best app that knows nothing. Where Zoho genuinely falls short for a specific need, keep that one tool and connect it through Flow.
No, and you shouldn't try. Most successful rollouts switch on four to eight apps in the first phase and add more as the need appears. The unused apps cost you nothing extra and sit there until you want them — which is exactly the advantage. The day you need e-signature or a help desk, it is already licensed, already integrated, and already covered by your existing SSO.
A single-department rollout — CRM plus email plus e-signature, say — is typically live in three to five weeks. A full-company replacement of an existing stack, including accounting and payroll data migration, generally runs eight to sixteen weeks depending on how clean your data is and how many custom processes need building in Creator.
The variable that matters most is not the software. It is how much of your current process is undocumented and lives in one person's head.
It comes with you. Zoho provides native migration tooling for the common sources, and Books imports full transaction history from QuickBooks and Xero including your chart of accounts. The work is rarely the export — it is deciding what to clean, what to consolidate, and what to deliberately leave behind. That is most of what an implementation partner earns their fee on.
It is a real constraint, not a trick. If you have 40 people on payroll and only 12 will ever log in, run the numbers both ways: 40 x $37 is $1,480 a month against 12 x $67 at $804. Flexible User wins there.
But if 30 of those 40 would benefit from even email, expense reports, and time off requests, All Employee is both cheaper per useful seat and strategically better — the whole point of Zoho One is that the entire company shares one system. It handles most of them. Zoho maintains SOC 2 Type II, ISO 27001, and GDPR/CCPA compliance tooling, with HIPAA-eligible configurations available for the relevant apps. Role-based access control, audit logging, and data residency options are standard.
Where it genuinely struggles: heavy manufacturing MRP, deep industry-specific verticals with entrenched compliance software, and enterprises with thousands of Salesforce-specific customizations already built.
