Zoho CRM is a capable CRM on its own merits. What makes it worth switching for is that the invoice, the support ticket, the signed contract, and the marketing history all live on the same record — without an integration budget or a Zapier bill.
The CRM was supposed to be the single source of truth. Instead it is one of four places customer information lives, and the one people trust least, because updating it is extra work that benefits someone else.

Coming from Salesforce
Zoho provides a native migration tool for standard and custom objects, and the data itself moves cleanly. The real work is the Apex triggers, Visualforce pages, and workflow rules built over the years — those do not port, and each one needs a decision: rebuild in Zoho's automation layer, replace with a Creator app, or retire because nobody has actually used it since 2023. Budget most of the project time here, not on the data.
Coming from HubSpot
Generally the easier migration of the two. Contacts, companies, deals, and activity history export cleanly and import through Zoho's native tooling. Watch two things: HubSpot's marketing email history does not carry over into Campaigns, so decide whether you need it archived; and HubSpot's flat property model needs remapping onto Zoho's module structure, which is a genuine design decision rather than a field-mapping exercise.
Coming from Pipedrive or Copper
The most straightforward path in this list. Standard CSV export and import handles most of it, and if your team is small, Bigin may be the better landing spot than full CRM — it maps almost one-to-one onto how those tools work, and upgrades to Zoho CRM later without a second migration.
Coming from Spreadsheets and inboxes
More common than anyone admits, and in some ways the hardest, because there is no schema to migrate — only conventions in people's heads. The work is deciding what a customer record should contain before importing anything. Import dirty spreadsheet data straight into a new CRM and you have paid to relocate the mess.
The questions that come up when teams evaluate this part of the suite.
Salesforce is more configurable at the top end. If you have a dedicated admin team, thousands of hours of custom development, and genuinely complex enterprise requirements, it is the more powerful platform and we will tell you so.
Below that ceiling — which is most companies — Zoho CRM does what Salesforce does at roughly a fifth of the total cost, and it arrives already connected to your accounting, support, and marketing. The comparison that matters is not CRM against CRM. It is one CRM plus five paid integrations against one CRM that was built alongside the other apps.
Yes, and occasionally that is the right call — usually when a team has deep Salesforce investment that genuinely works. Zoho Flow connects Salesforce or HubSpot to Books, Desk, and the rest.
Be clear-eyed about the trade-off, though. You keep paying for the outside CRM, and you keep a sync boundary where data can drift. Most companies that start this way consolidate the CRM within a year once they see the rest of the suite working natively.
It is useful for a narrow set of things and oversold for the rest. Lead scoring against your own historical close data, flagging deals that have gone quiet relative to your normal sales cycle, and anomaly detection on pipeline trends all work well and save real time.
Treat the conversational assistant and the AI-written email suggestions as conveniences rather than reasons to buy. If a vendor's AI story is the main argument for switching CRMs, be skeptical — ours included.
Zoho One deployments run up to 46,000 users, and CRM specifically handles enterprise-scale teams with territory management, multi-currency, and role hierarchies. Scale is rarely the constraint. The constraint is usually process complexity, not user count.
Custom fields, custom modules, and custom pipeline stages are standard, and multiple pipelines with different stage sets are supported natively. Where a process genuinely does not fit a CRM shape at all, Zoho Creator lets you build the application it does fit — sharing the same users, permissions, and data as CRM rather than becoming another disconnected tool.
